Company inbox

# Company inbox: invoices *arrive by themselves*

Every company in FreeMe has its own email address. Forward an invoice or give the address to your suppliers. The attached PDF or photo is read automatically and waits in Archive, ready for you to review and book.

[Find your company address](https://app.freeme.bg/) [How it works](https://freeme.bg/en/features/company-inbox#how)

- An address for every company
- PDFs and photos are read
- You confirm every booking

Demo: a supplier sends an invoice and you forward it to the company address. It appears in Mailbox as Processed, AI fills in type, supplier, number, date and amount in Review document, you press Book and get a confirmation. A re-sent file is marked Duplicate and a Word file is Stored only. All data is sample data.

Address = company ID + @inbox.freeme.bg

@

### Your own address

The address is built from the company's registration number (UIC). Nothing to set up.

🤖

### Read automatically

PDFs and photos go through the same AI recognition as a file you upload by hand.

🔁

### Duplicates are spotted

The same file sent twice is not stored twice.

🗂

### Everything in one place

Emails are read in Mailbox, documents wait in Archive.

What it is for

## What you do with the company inbox

Five everyday cases where you upload nothing by hand.

My supplier emails me the invoiceGive them the company address as the email for documents. The next invoice arrives directly.

I got an invoice in my personal mailboxForward it to the company address. No downloading, no re-uploading.

I have a photo of a receiptAttach it to an email. JPEG, PNG, WEBP and phone HEIC photos are accepted.

I am not sure I already sent itIf the file is the same, you see a "Duplicate" status and it is not entered twice.

I want to see what has arrivedSearch by sender or subject and filter by All, Processed or Failed.

How it works

## From email to a booked document in four steps

You do the first and the last. In between, FreeMe reads the document.

### Send or forward

Open Mailbox, copy the address under "Send invoices to" and use it as the recipient.

### It lands in the inbox

The email appears in the list with sender, subject and a Status. Mail is checked every few minutes.

### The document is read

The type (for example Invoice), supplier, date and amount are extracted. The document waits in Archive.

### Review and book

In Review document you check what was read and press Book. Nothing is recorded without you.

Control

## What happens automatically and what does not

The inbox only prepares documents. The decision is yours.

### It does not book by itself

A recognized document waits in Archive. You review it, correct it and choose when to book it.

### Low confidence is visible

When recognition is unsure, the document is flagged "Low confidence, please check".

### A failure is not lost

A file that could not be read stays in the list as "Failed". You can press "Try again".

### No remote images load

The email is shown in an isolated frame, and the sender's hidden tracking pixels are not loaded.

### Other files are kept

Word, Excel and archives are not read by AI, but they are stored ("Stored only") and you can download them.

### It only receives

No emails are sent from this address. It exists to receive documents.

Questions

## Company inbox FAQ

### Is the address per company or personal?

It belongs to the company and is built from its UIC, as UIC@inbox.freeme.bg. You see it at the top of Mailbox.

### Can suppliers send to it directly?

Yes. Give them the address as the email for invoices. Anything with a PDF or photo attached reaches your company.

### Can I forward letters and invoices?

Yes, forward them like any other email. The message text is readable in Mailbox, and attached PDFs and photos are read as documents.

### What happens to the attachment?

PDF, JPEG, PNG, WEBP and HEIC go through AI recognition and show up in Archive with a detected type. Then you review and book them. Other formats (Word, Excel, ZIP) are only stored.

### How fast does an email arrive?

Mail is checked every few minutes, so an email appears in your inbox shortly after it is sent.

### What if someone mistypes the UIC?

Mail to a non-existent or inactive address is not stored for anyone, and the sender gets no error notice. Check the address before handing it to a supplier.

### Can someone send me junk?

A UIC is public, so the address is not secret. The inbox is for documents only: you can delete an unwanted file from Archive before it is booked.

### The document is in Archive. What next?
