Why your company's books should not live on one computer

The software that still lives in the 90s

If you have run a business elsewhere, you probably assume accounting software means a browser tab: Xero, QuickBooks, something with an app and a mobile version. Then you register a Bulgarian company and discover why your accountant keeps sending you Excel exports and PDF attachments instead of a login link: on their desk sits a Windows PC with an installed accounting program, licensed per workstation, not per company and not per user. Updates arrive as an installer file someone on staff has to download and run, usually after hours so it does not interrupt the working day. The database lives on that one machine's disk, full stop. A report on demand means calling the office, explaining what you need, and waiting for someone to export it and email it back, often as a PDF that is already outdated by the time it lands in your inbox.

This model was built in the 90s and has essentially not moved since. It works, until it doesn't. The problem is not nostalgia for old software, it is risk: your company's entire financial history depends on one disk, one office, and one human habit of remembering to make backups on schedule. Swap the computer, swap the accountant, or just let that disk age past its warranty, and years of records can vanish in seconds. The stranger part is that this model still runs the books for a large share of small businesses in Bulgaria, even though everything else in the company, banking, communication, even the till, moved online years ago.

What can go wrong (and does)

The list is long, and every accountant has at least one story from it, usually told with a rueful laugh, because it was not funny at all when it happened:

• The office PC's disk dies and the last backup is a month old. That is a month of your invoices, re-entered by hand while everyone hopes the accountant's memory is good and the paper trail is complete.
• Backups go to a USB stick or external drive that sits next to the same computer, because that is simply more convenient day to day. Fire, flood or burglary then takes both at once, since they were never actually kept apart.
• A virus or ransomware encrypts the database and the backups on the same machine, because nothing isolates one from the other.
• The program is licensed to the practice, not to you. Change accountants and your data has to be “extracted”: if anyone still knows how, and if the file format even allows another program to read it.
• Need a report on Friday evening for a bank, an investor, or just your own peace of mind? Wait until the office opens on Monday.

None of this is theoretical. It is the everyday operating mode of a large part of the market, it just is not discussed until it happens, and by then it is usually too late to do much about it.

What “the cloud” actually is (without the marketing)

Behind the word “cloud” stand concrete things, not marketing fog. Modern SaaS products (software as a service: software you use through a browser, nothing installed on your own machine) run on infrastructure from providers like Amazon Web Services (AWS) and Google Cloud, the same platforms that banks, airlines and government agencies run on worldwide. What that gives you in practice:

• Data centers in the EU. The data sits on servers inside the European Union, Frankfurt, for example, under European data protection rules (GDPR). That means the information never physically leaves EU jurisdiction, and it is subject to the same privacy and consent rules no matter where you log in from.
• Many copies, in many places. Information is stored simultaneously across several physically separate zones, so a failure in one does not touch the others. AWS's storage, for instance, is designed for 99.999999999% data durability: eleven nines. In human terms, losing a file is a once-in-millions-of-years event, not a “forgot the USB stick in my other jacket” event.
• Encryption everywhere. Data is encrypted both in transit, as it moves between your device and the server, and at rest, while it sits on disk. That is the same class of protection banks use for online payments.
• Automatic backups. Copies are made by machines on a schedule, with point-in-time recovery if something goes wrong. Nobody has to remember to run a backup on a Friday afternoon.
• Independent audits. These facilities are regularly certified against international security standards like ISO 27001 and SOC 2, by external auditors, not on trust in the provider's own claims, and the results are available for review.

What a small company gains from this

Translated from infrastructure into daily life, this adds up to concrete, tangible changes in how you run the company:

• Your invoices and documents are available from your phone, laptop and tablet, anytime, anywhere, always the current version. Especially relevant if you run a Bulgarian company from another country and cannot simply drop by the office.
• No installations, no updates, no “the new version won't run on my Windows,” because there is no local version to fall out of date or lose compatibility.
• Backing up is not somebody's duty, written on a sticky note or held in one person's memory. It is a property of the system that works whether or not anyone thinks about it that day.
• Your company's history is not locked in somebody else's computer. It is in your account, and you can export it whenever you like, in a readable format, without asking anyone's permission.
• Every action leaves a trail: who entered what and exactly when they did it. During a tax inspection or a dispute with a partner, that is gold, because it removes the question of who changed what.

One underrated detail: in the cloud model, switching accountants stops being a drama. The data is not “extracted” from somebody's PC with apologies and delays. It is already with you the whole time, and the new accountant simply gets access to the account instead of waiting on a file transfer.

The irony is that the smallest companies gain the most from this shift: they are exactly the ones with no IT department or technical staff to compensate for the old model's weaknesses when something breaks on a Friday night.

The honest question: what are the downsides?

It would be marketing, not truth, to claim the cloud has no weak spots. There are two real considerations worth an honest answer, not a hand wave:

• You need internet. No connection means no real-time access to your data. In 2026 this is mostly theoretical, since your phone is a backup connection almost everywhere, and mobile data is fast and cheap in most places founders operate from. Still, it is fair to say that fully offline work is not the scenario cloud software is built for.
• Your data lives with a provider, not on a disk you personally hold. Which is why the where and how matter: an EU region, encryption, independent certifications, and, most importantly of all, the ability to export everything of yours at any time, in a readable, portable format. If a service does not offer easy data export, that is a red flag, no matter how polished and modern its interface looks.

Compare it with the starting point, though: one disk, one USB stick, one office, and one hope that none of the three fails exactly when you need a report. The question is not “is the cloud perfect,” but “which setup protects my company's data better, without relying on someone's memory.” It is not close, and the bigger your company grows, the more expensive it gets to learn that the hard way.

How we are building it

FreeMe.bg is cloud-native from the first line of code: AWS infrastructure in the EU, encryption everywhere, automatic backups every few minutes, and nothing to install. Open a browser or your phone and your company is there, with no waiting, no updates, and no installer files to run. Snap an expense from the beach, approve a filing from another country, see all five of your companies on one screen instead of switching between separate logins for each one. And the data stays yours the entire time: export at any time, in a readable format, without asking anyone's permission.

If you want to see what this makes possible in practice:

Expenses by photo, from your phone
VAT and filings, done for you
All your companies under one profile

The software of the 90s did its job. It is time accounting caught up with the rest of your life.
