Receivables and payments

Receivables and payments: who owes you and who you owe

Unpaid invoices are sorted by client and by days overdue. When a payment arrives from your bank statement or cash desk, you link it to the invoice and the balance updates.

  • Aging report per client
  • Receivables and payables
  • Payments from bank and cash

Short video: in FreeMe you open Payments and the Aging report and see receivables and payables. The table lists clients by days overdue. You open one client and see their unpaid invoices. Then you link a bank statement line to the invoice as an exact match and the client balance drops. The data is sample data.

How it works

From unpaid invoice to settled receivable

Four steps, and no manual entry of payments.

Issue the invoice

The unpaid invoice appears in the client’s Receivables.

Upload the statement

Under Payments you upload a bank statement (CSV). Cash payments are recorded with a New cash order.

Link the payment

In Match a statement line you pick the invoice, and exact matches are flagged. Press Link.

Watch the balance

The Aging report updates. Change “As of” to look at an earlier date.

Control

You decide which payment goes to which invoice

It is built so that mistakes are hard to make.

A suggestion, not autopilot

When you review a statement the lines are grouped, and you approve or reject them before confirming.

No over-allocating

An amount larger than what is still open on the invoice is refused.

History is kept

A deactivated bank account or cash desk keeps its history.

Locked periods

In a locked period, a payment is not posted.

Honest limits

What it does and what it does not

So you know what to expect.

Shows and sorts

  • Receivables and payables per partner and document
  • Days overdue and a report as of a chosen date
  • A Monday email listing unexplained bank movements (optional)

Does not do

  • Does not send reminders to your customers by itself
  • No hand-typed payments: they come from a statement or a cash order
  • Does not replace talking to a client who does not pay
FAQ

Receivables FAQ

Can I enter a payment by hand?
Not as a free-form row. Bank payments come from an uploaded bank statement, and cash payments are recorded with an incoming (PKO) or outgoing (RKO) cash order.
What is an aging report?
A report that groups unpaid documents by days past due: not due, 1–30, 31–60, 61–90 and older.
Can I also see what I owe suppliers?
Yes. The same report has a Payables direction that lists what you owe per supplier.
What does “Unallocated” mean?
The part of the balance that is not an open item, for example a payment or advance with no invoice, or an old balance from before the start of the fiscal year.
Can I ask the AI instead of opening the report?
Yes. FreeMe AI checks receivables and payables by age and answers in plain language. See FreeMe AI.
How does the bank statement get in?
You upload a CSV or TXT from online banking. Details are on the bank page.
